| Sims-Gant Family Meeting Minutes January 19, 2018 Meeting opened with prayer over the phone via conference call by Earl Sims, Sr Old Business: Treasurer Report: Remains the same. Confirmed amount of $376.94 in PayPal account. Katrina Sims will call Pat Carter to further discuss account opening and possibility of a P.O. Box to expedite ability to receive funds for this 2019 reunion. Historian report: Cynthia Cann suggested extending an invitation to DNA connected family members newly discovered to upcoming reunion. Family agreed, this was accepted and reference to the by-laws will be made for fees for those wishing to attend. It was discussed that the “Who Am I?” remain an activity at the reunion. It was agreed this was always a part of the reunion and should always remain. Family Reunion: Rashonda and Herman are going to visit a couple of hotels previously researched to discuss options and accommodations for reunion. They will have specific details for family next Saturday to finalize the location. Herman has also contacted the Pine Hills hall previously mentioned to rent Friday, Saturday and Sunday. He was told he was first in line for our requested dates but to confirm after the new year as there is a possibility of construction surrounding the area and dates for that had not yet been published. Herman will also reconnect to confirm availability. Herman has another hall to inquire upon as a back up plan. C.B. Smith is the chosen park, will be looking into reservation requirements by next Saturday as well, to finalize. T-shirts: Prices for shirts are as follows: For 50/50 All youth sizes – Adult XL $5.25 2X - $7.25 3X - $8.25 4X – 9.25 5X – TBA Prices for dry fit shirts (polyester) – All youth sizes – Adult XL $8.99 2X - $10.99 3X - $11.99 4X – $12.99 5X – TBA We can mix and match the regular 50/50 shirt material with the dry fit so you may choose which you want, so long as we order 72 shirts total. Historically we have ordered this amount. Discussion was had to change the tree on the shirt to include a word cloud to accommodate new last names for our family additions. Cynthia will post a request for the new last names. If time allows, this will be changed. If not, we will continue with the same and explore new options for the 2021 reunion. Dues will remain the same. They are $96 for each adult for the 2-year span. These are important because this is how we fund the family reunions and our ability to come together. If broken down, you can see that is only $4 per month. You can pay them any time you want and in any denomination. They are to be paid in full by May 2019 so that we know how much we have for the reunion costs. New Business: Programs – Katrina has volunteered to take on this creation and told the rest of us not to worry about it! Update: Katrina called Pat Carter during our conference call who asked that we discuss the call with her at a later date. Katrina will opening an account with the credit union for the family. Katrina will do this as a quick fix for the short time frame and establish a P.O. Box for dues to be sent in order to receive monies for reunion costs. Katrina will explore electronic possibilities and discuss with those pursuing that option as needed. Next meeting will be held via phone conference this coming Saturday, January 26, 2019 at 7p.m. as we need to finalize locations and hotel accommodations. Sims-Gant Family Meeting Minutes December 8, 2018 Meeting opened with prayer over the phone via conference call Old Business: Treasurer Report: Confirmed amount of $376.94 in PayPal account. Brief discussion about opening a new family account. Deferred until treasurer is present for further discussion. Historian report: Deferred. Historian unavailable. Family Reunion: Still need to investigate prices for hotels to determine best date for reunion. Rashonda had looked in to some but records unavailable at present. Discussed C.B. Smith Park with the means of cooking at the park. Locations for events discussed and it was decided that Herman was going to investigate a hall that we could rent for Friday, Saturday and Sunday to hold all events except the picnic. This would include the Friday night fish fry/welcome night, Saturday night fellowship/dinner/dancing/music and a breakfast banquet on Sunday including church services. New Birth church was also an option. Herman and Rashonda to provide more detailed information in an email by next Friday. The next conference call will be Saturday, January 19, 2019 at 4p.m. Sims-Gant Family Meeting Minutes March 10, 2018 Meeting opened with prayer at Pat Carter’s house in Avon Park Old Business: Treasurer Report: Pat Carter stated the family account has been closed. She will research fees and options for opening a new one with Arthur Williams as a co-signer. Central Florida Credit Union was an option. Cynthia Cann stated that the family has a balance in a PayPal account left over from t-shirt order in an amount approximately equal to $200-$300. She will find out for sure and inform us at the next meeting. Historian report: Family books that were created by Cynthia Cann are no longer available for purchase. A suggestion was made to scan the pages and upload them to Shutterfly. This possibility will be researched and findings to be reported next meeting. New Business: New officer positions were nominated and voted upon. Orlando (0) St. Petersburg (3) Dates for the reunion were discussed as pricing for the holiday weekend may be elevated. Rashonda and the family from Broward County area will research the difference in prices and report back at the next meeting. This will be a determining factor if we are to have the reunion on July 5, 6 and 7 or July 12, 13 and 14, 2019.
